Overview

This position is for a Medical Assistant to support the activities of the General Otolaryngology Division. The position will be active in a variety of Medical and Administrative activities and primarily located at a future office being planned for the Brock Cancer Center on the Campus of Sentara Leigh. Until completion of that facility the role will reside at the ENT offices located on the campus of Sentara Princess Anne Hospital.

Responsibilities

    Triage patients for providers, prepare patients for surgery, prepare patients pre and post operative appointments.
  • Have an understanding of skin cancers, various cosmetic procedures, and post opeative care instrucitons and procedures.
  • Perform administrative and clinical duties to assist assigned faculty member and ensure the efficient operation of the office.
  • Provide all patients with exceptional service so they have a comfortable and pleasant experience
  • Review all new patient intake forms, document patient treatments and plans of care, scan pathology reports and other patient reports, file in the appropriate records
  • Provide accurate, appropriate and immediate responses to all requests by patients, ensuring complete guest satisfaction
  • Assist surgeons with in-office procedures, providing support and ensuring smooth workflow.
  • Clean procedure rooms after each use, clean instruments, and demonstrate understanding of sterile technique, using and maintaining quality check on autoclave - weekly and monthly deep clean of autoclave, preparing procedure room and exam rooms with needed instruments, stocking rooms.
  • Carefully manage and accurately handle specimens for laboratory analysis. This includes accurately labeling, documenting, and safely packing specimens for transport, adhering to established protocoals and ensuring timely delivery to the laboratory.
  • Ensure and maintain adequate supply and reporting orders needed to supervisor.
  • Provide post-operative care, assisting providers with removing stitches, including dressing changes.
  • Prepare specimens for lab work testing. Proper handling, labeling and logging of specimens
  • Verify and Retrieve culture, pathology, CT/MRI results before Follow-Up appts and Procedures.
  • Schedule surgeries and coordinate with other physician offices as appropriate with co surgeries.
  • Update patient medical records, guide patients to the exam room, take and accurately record patients' vital signs, height, and weight.
  • Documents and completes needed prescription refills and/or other vital clinical information
  • Run schedules for providers for the next day, review planned procedures, print patient insurance information, pathology reports, lab reports, diagnostic testing reports prior to patient appts
  • Complete and verify all orders and consents for all surgical patients
  • Review daily schedules for each clinic and verify all supplies are prepared and in exam rooms and procedure room.
  • Demonstrate comprehensive knowledge of all General Otolaryngology care.
  • Schedule and confirm patient referral and testing appointments, answer office calls, complete tasks in a timely manner.

Performs other duties as assigned.

Qualifications

High school diploma plus successful completion of a Medical Assistant program required. The position requires certification as a Medical Assistant (CMA, RMA or equivalent), or ability to obtain certification within 90-days of hire. At least one year of previous Medical Assistant experience strongly preferred. Experience in a high volume surgical practice is preferred.

Must be detail oriented and organized in order to help ensure that all patients information, pre-operative scheduling/clearances and surgical scheduling is completed and maintained in a timely fashion.
